Our main office is located at The Graham, 217 North Graham Street, in Uptown Charlotte, North Carolina. We also have additional offices in Rock Hill, South Carolina; Monroe, North Carolina; and in Cornelius, North Carolina.
The Office Manager is responsible for managing the administrative operations of the Cornelius, North Carolina location of the firm – Sodoma Law North – including supervising all personnel. The Office Manager will be located primarily in our Cornelius, North Carolina Office, but may be responsible for travel to other offices on an as-needed basis. The Office Manager will be located primarily in our Monroe, North Carolina Office, but will be responsible for travel to our York, South Carolina office on an as-needed basis. The Office Manager works directly with all employees of their respective location as well as working directly with the Firm Administrator, Client Account Manager and Bookkeeper to ensure timely payment of expenses and collections on outstanding accounts receivable. This position requires an intelligent, flexible, proactive, organized and independent person who will engage in administrative operations and take the bull by the horns.
Essential duties and responsibilities:
- Time entry
- Distribution of client invoices for review by team
- Pay vendors, as needed
- Track due dates for vendor invoices
- Process client credit card payments
- Assist in collection efforts
- Ensure the proper invoicing and expense allocation for clients
- Manage onboarding for new employees
- Assist in preparing for annual reviews, coaching sessions and/or disciplinary procedures
- Track PTO
- Conflict resolution for minor personnel issues as necessary
Outstanding candidates will also have:
- Experience in a management and legal setting a plus
- Possess excellent writing, communication, organization and computer skills
- Be proficient in Outlook, Microsoft Word and Excel
- QuickBooks experience a plus
- Detail oriented
- Ability to pinpoint problems and identify solutions
- Multi-task: kick ass efficiently and prioritize with an appropriate sense of urgency
- Be creative
- Know their “why” and understand ours
